Salary: $28,000.00 to $35,000.00 /year


Provides administrative, secretarial and clerical support to others in the office and to maintain an efficient office environment.

Responsibilities and Duties

A . General Office Duties as carried out on regular basis.

A1. Greet clients and visitors as needed.

A2. Prompt and courteous answering of incoming overload telephone calls.

A3. Daily order entry of sales orders into Quick Books for GSSI & HS

A4. Distribute GSSI orders to Centralized Production for shipping daily.

A5. Maintain customer information in ACT database for GSSI & HS.

A6. Maintain customer files for both companies.

A7. Mail out information on advertising/show leads for both companies.

A8. Generate weekly sales reports for both companies to be sent to CEO.

A9. Mail out invoices for both companies and file copy in customer file.

A10. Perform general office duties by organizing and maintain common areas.

A11. Coordinate and maintain office supplies inventory.

A12. Coordinate with management maintenance and service of office equipment.

A13. Coordinate special events and update and maintain internal staff contact list.

A14. Receive mail and distribute.

A16. Year-end purging and updating of all customer files for both companies.

A17. Create, edit/update documents/letters when needed.

A18. Bank Deposits (Checks)

A19. Run Credit Cards

A20. Invoicing of Orders.

B. Perform additional duties as assigned by supervisor for both companies on a Daily, Weekly and Monthly basis.

Qualifications and Skills

  • High School Diploma or Associates Degree (preferred but not required).
  • Warm Personality with strong communication skills.
  • Ability to work well under limited supervision.
  • Office Experience – General office knowledge. Scheduling, Telephone Skills, Typing, Documentation Skills, Meeting Planning, Verbal Communication, Written Communication, Dependability, Attention to Detail, Administrative Writing Skills, Organizational skills, Filing, Mailouts, Report creation.
  • Software/Computer Experience – Word Processing, Excel, Outlook, and general computer knowledge. QuickBooks experience (preferred but not required).
  • Familiarity with office equipment (e.g. fax, copier, printer etc.)
  • Minimum 2 years of experience in office assistant role.
